When a crane is down, a complete parts request can help the right team understand what you need faster. Whether you need a replacement component for a crane, dragline or other heavy equipment, accurate information at the start makes a request easier to evaluate.
Before requesting a quote from Jefferson Machine Company, use this checklist to gather the equipment details, part information and reference photos that can help identify the component.
Important: This article is intended to help prepare a parts request. It is not an equipment-repair or safety procedure. Follow your company safety requirements and the equipment manufacturer documentation before inspecting or working around machinery.
Start with the equipment information
Begin by identifying the machine itself. Include the manufacturer or make, model, serial number, equipment type, and any unit or fleet identification your company uses. The serial number is especially helpful because model names can include variations over time. Record the information exactly as it appears on the equipment identification plate or documentation.
Look for an existing part number
If the component has a stamped, cast, engraved or printed part number, include it in the request. Photograph the marking when possible, even if it is worn or difficult to read. A part number, partial number, casting mark or manufacturer code can provide useful context when paired with the equipment make, model and serial number.
Describe the part and where it is used
A clear description helps distinguish similar-looking components. Include the part name if known, where it is located on the machine, the assembly or system it works with, and whether the request involves a failed, worn, missing or damaged component. Terms such as swing-drive pinion shaft, boom sheave or undercarriage roller are more useful than a general description such as crane part needed.
Take useful photos
Photos can add important context to a quote request. If it is safe to do so, include one wider photo showing the component in its location, close-up photos of numbers or casting marks, photos of mounting points or mating surfaces, and a photo with a ruler or tape measure when scale matters. Photograph any worn or damaged area that may help explain the request.
Do not remove guards, dismantle equipment or take measurements in an unsafe condition simply to create a parts request.
Confirm quantity and requirements
State how many parts are needed. If the component is part of a matched set or must fit an existing assembly, include that context. It is also helpful to say whether you are requesting a replacement part, rebuild support, manufacturing support or an evaluation of available options.
Use the quote request as a checklist
A strong request usually includes the equipment make, model, serial number, part number or marking, a clear description, quantity needed, photos or drawings when relevant, and your company contact details. Jefferson Machine quote requests collect these core details so the team can better understand the equipment and component involved.
Need help identifying a part?
If you do not have every detail, send what you do have. A clear photo, the equipment model and a description of where the part is used can be a productive place to start.
